1. Information Journey collects

The information processed by Journey depends on the features used and the user’s role.

Account and profile information

  • name;
  • email address;
  • user/account identifier;
  • age or age category;
  • student profile information;
  • martial arts rank or grade;
  • club membership and class information;
  • instructor or administrative role;
  • parent or guardian relationship to a child or junior member.

Authentication information is handled through the app’s authentication service. Journey does not need to display or store users’ passwords in readable form.

Training and attendance information

  • class attendance;
  • late attendance or planned absences;
  • class activities and training records;
  • home-training activities;
  • patterns, techniques or other syllabus activities;
  • goals and progress information;
  • instructor observations;
  • instructor feedback;
  • milestones;
  • grading-related information;
  • reflections or training journal entries.

Some reflections and instructor notes may be private by default and shared only when the relevant feature or user choice permits this.

Messages and communications

  • messages sent between students, parents/guardians and instructors;
  • replies from instructors;
  • club notices and announcements;
  • notifications generated by activity within Journey;
  • administrative messages connected with club participation.

Journey is not intended to operate as a public social network or unrestricted chat service.

Photos and videos

Where enabled, users may upload training videos for review by an instructor. Journey may process uploaded video files, video identifiers, upload status, the student or account associated with the upload, and instructor feedback linked to a video. For children and junior members, video functionality may be subject to parent or guardian controls or consent requirements.

Shop and payment-related records

Where the club shop is enabled, Journey may process products requested or ordered, size, quantity or colour selections, recipient/student name, order status, payment-request status, whether payment has been recorded, and collection or fulfilment status.

Journey’s current pilot does not process card payments within the app. Online card/Stripe payment functionality is disabled in the pilot build. Journey does not store full payment-card details.

Technical information

Journey and its service providers may process limited technical information required to operate, secure and troubleshoot the service, such as device or app information, app version, authentication/session information, request and error logs, security and diagnostic information, and notification-related technical identifiers where applicable.

2. Information relating to children and junior members

Journey supports child, junior and adult member profiles. Children and junior members may have a profile associated with a parent or guardian account. Parent/guardian controls may be used to manage access to certain features.

Journey is designed so that a parent or guardian relationship is associated with the actual adult account rather than creating an anonymous child-facing adult identity.

Depending on the member’s age and club settings, parents or guardians may be able to manage or view the child’s profile, review attendance or training information, manage certain permissions, access relevant club communications, assist with absence notifications, and manage shop requests or other club-related actions.

We aim to collect only information reasonably required for participation in the club and use of Journey.

3. How we use information

  • create and maintain user and member profiles;
  • authenticate users and keep accounts secure;
  • manage student, guardian and instructor relationships;
  • record attendance and class participation;
  • support training and development;
  • allow students to record reflections, goals and activities;
  • allow instructors to provide observations and feedback;
  • facilitate communication between members and instructors;
  • manage club notices, events and grading information;
  • manage shop and equipment requests;
  • process and display video feedback where enabled;
  • provide notifications about relevant Journey activity;
  • operate, secure, maintain and improve the service;
  • investigate technical problems and prevent misuse.

Journey does not use member information for third-party behavioural advertising.

4. Legal basis for processing

Where applicable under Irish and European data-protection law, personal information may be processed because it is necessary to provide Journey and the club services requested by the user; the club has a legitimate interest in administering classes, attendance, training and communications; consent has been provided where appropriate or required; processing is necessary to comply with a legal obligation; or processing is necessary to protect users, the club or the security of the service.

Where a child or junior member is involved, appropriate parent or guardian involvement may be required depending on the activity, the member’s age and applicable law.

5. Service providers

Journey uses specialist technology providers to operate the service. These may include:

  • Clerk — user authentication and account access.
  • Railway — application hosting and database infrastructure.
  • Mux — video upload, storage, processing and playback where video functionality is used.
  • Resend — transactional email, such as Journey account or service-related email.

Other infrastructure providers may be used where necessary for app distribution, device notifications, security or operation of the service. These providers process information only for the purposes of providing their respective services and are subject to their own privacy and security obligations.

6. Google Play and device services

When Journey is installed through Google Play, Google may process information relating to app distribution, installation, updates, device compatibility, security and Play services. That processing is governed by Google’s own terms and privacy policies. Journey does not receive a user’s Google account password from Google Play.

7. Sharing of information

Journey does not sell personal information.

Information may be shared with authorised instructors and club administrators where required for their role; with a linked parent or guardian where appropriate; with technology providers required to operate Journey; where the user has specifically chosen to share information; where required by law; or where reasonably necessary to protect the safety, security or legal rights of users, the club or the Journey service.

Access is intended to be role-based so that users only see information appropriate to their account and responsibilities.

8. Private reflections and instructor information

Certain Journey features are designed to remain private unless deliberately shared. For example, student reflections may be private by default, an instructor observation may be visible only to authorised instructors, and students may be able to choose whether particular information is shared with an instructor. Where the interface provides a sharing choice, Journey aims to respect that selection.

9. Data retention

Personal information is retained only for as long as reasonably required for club membership and administration, training records, account operation, safeguarding legitimate club records, dispute resolution, security, and legal or regulatory obligations.

Different types of information may have different retention periods. Test or pilot information may be deleted once it is no longer required. Backups may retain information for a limited additional period before being overwritten or securely removed.

10. Account deletion and data deletion

Users may request access to, correction of or deletion of personal information associated with their Journey account, subject to any information the club is required or reasonably entitled to retain.

A parent or guardian may also contact the club regarding information relating to a linked child or junior member.

Requests should be sent to hello@myjourney.ie.

Where an account is deleted, some records may be retained where necessary for legal, safeguarding, security or legitimate administrative purposes.

11. Your data-protection rights

Depending on applicable law, users may have rights including the right to obtain information about how their data is processed; request access to personal information; request correction of inaccurate information; request deletion; request restriction of processing; object to certain processing; receive certain information in a portable format; and withdraw consent where processing is based on consent.

Users in Ireland and the European Economic Area may also have the right to lodge a complaint with the relevant data-protection authority. In Ireland, this is the Data Protection Commission.

12. International processing

Some of Journey’s technology providers may process data outside Ireland or the European Economic Area. Where this occurs, appropriate legal and contractual safeguards are expected to be used in accordance with applicable data-protection law.

13. Security

Journey uses technical and organisational measures intended to protect personal information. These include authenticated access, role-based permissions, parent/guardian access controls, secure server infrastructure, encrypted network communications, restricted administrative access, security logging and monitoring, and safeguards around private student and instructor information.

No internet service can guarantee absolute security, but we take reasonable measures to protect Journey data.

14. Advertising

Journey does not display third-party advertising. Personal information is not sold or shared for targeted advertising purposes.

15. Health information

Journey may include martial-arts training, stretching, attendance and activity information. Journey is not a medical or healthcare service, and information recorded in the app is not intended to provide diagnosis, treatment or medical advice.

Users should seek appropriate professional advice regarding injuries, medical conditions or participation in physical activity where required.

16. Changes to this Privacy Policy

This Privacy Policy may be updated as Journey develops or as legal, technical or club requirements change. Material changes will be reflected by updating the effective date and, where appropriate, notifying users through the app or another suitable method.
